    We are looking to recruit a Senior HR Officer to be based in Ho Chi Minh office.

    Reports to: Vietnam Offices Manager; Country Managing Director and Regional Chief People Officer

    Key external relationships: Clients and Government Officials

    Key internal relationships: Administration team, Finance team, Legal & Tax Advisory team and other key internal stakeholders

    Position type: Full Time

    Eligibility: Vietnamese Nationals Only

    Working Hour: Monday to Friday, from 8:30am to 12:30pm and from 2:00pm to 6:00pm

    Location: Ho Chi Minh City, Vietnam

    Main duties of the role

    Assist and support the Vietnam Offices Manager by ensuring the following processes are handled efficiently:

    Human Resources Management:

    1. Report to and support the Country Managing Director and Vietnam Offices Manager on all HR related tasks for employees based out of Vietnam;
    2. Liaise with the Regional Chief People Officer to manage HR functions in the Vietnam offices, ensuring compliance with DFDL policies and Vietnamese laws;
    3. Develop and implement HR programs, processes, and tools to support organizational objectives;
    4. Assist all hiring managers in recruitment processes, including drafting role descriptions, posting job ads, screening candidates, arranging tests/interviews, and conducting reference checks;
    5. Provide the Country Managing Director and Vietnam Offices Manager with draft offer terms, for review and sign off, structured within the Firm's guidelines regarding benefits relevant to the role and seniority of the new hire;
    6. Participate in and lead the communication of the offer with the candidate, in certain instances negotiate terms, and manage the relationship, escalating to management in case of any requests made by the new hire that fall outside of the Firm's guidelines;
    7. Draft and maintain labor contracts in accordance with Vietnamese Labor Laws, ensuring the standard format remains up to date;
    8. Ensure  the  implementation  of  all  administrative  and  HR  procedures  in  compliance  with internal standards and local labor laws;
    9. Manage probation and internship programs for all employees in the Vietnam office, including Regional & Taxation Practice Group;
    10. Ensure compliance with HR and administrative procedures for hiring and onboarding new employees, as well as departing employees;
    11. Facilitate the timely execution of the performance management process, providing coaching to managers and preparing necessary reports;
    12. Annual update of labor law amendments to be integrated into the employee manual and integration of any country-specific statutory updates into our process and system;
    13. Ensure that the required reporting and relationships to the local authorities are carried out as per the local law requirements;
    14. Report HR movements to the labor authorities as per the local law requirements;
    15. Work closely with all managers to identify staff training needs and ensure access to professional development resources;
    16. Ensure completion and maintenance of routine HR actions and records by admin support staff;
    17. Collaborate with Operations teams to maintain appropriate corporate insurance for all Vietnam-based staff and provide assistance and advice regarding group medical insurance matters;
    18. Facilitate and supervise staff registration requirements with local authorities;
    19. Provide general HR support and advice to all managers in the Vietnam Office, coordinating HR functions with executive leadership and regional teams; and
    20. Ensure timely implementation of the National Social Security Fund; and
    21. Prepare an exit agreement in liaison with Accounting Staff for the Finance Manager's review and for the Regional HR Department's review, and for approval from the Managing Director/Deputy Managing Director; and
    22. Conduct an exit interview for local leavers and liaise with the Regional HR Department for non‐local and senior level staff;
    23. Maintain the HRIS system with updates on employee information, leave management, performance reviews, and productivity monitoring;
    24. Manage employees' personal files and ensure that personnel files are up to date and secure;
    25. Support regional HR in the implementation of Firmwide HR projects; and
    26. Provide reports to Regional HR on an ad-hoc basis as needed.

    Human Resource Operations:

    Coordinate with the Country Managing Director and Vietnam Offices Manager on all office management and operational issues;

    1. Maintain up-to-date work visas and permits for all Vietnam-based staff;
    2. Oversee and coordinate the renewal of office general insurance and staff health insurance;
    3. Liaise with visiting government officials and manage office events;
    4. Manage office supplies inventory, procurement procedures, and budget reviews;
    5. Identify opportunities for process and office management improvements, designing and implementing new systems;
    6. Provide  administrative  support,  including  scheduling  meetings,  maintaining  calendars,  conducting research, and creating reports;
    7. Develop and implement office policies and procedures, ensuring appropriate implementation;
    8. Oversee workload and ensure compliance with documentation management procedures and policies for the Legal Administration Manager and team;
    9. Support and supervise all administrative duties, ensuring smooth office operations;
    10. Coordinate and manage Services & Security Staff, ensuring high-quality services;
    11. Arrange accommodation, visas, and flight tickets for incoming personnel; and
    12. Undertake other duties as may be required of you from time to time.

    You should at all times conduct yourself in accordance with all ethical rules applicable to you, local regulations and the Firm's internal rules and Code of Ethics.

    Requirements

    Essential skills & proficiency

    • Between 3-4 years of experience as the HR general;
    • A good approach to problem solving, including lateral thinking ability;
    • Excellent in communication in spoken and written English & Vietnamese;
    • Ability to take the initiative and pay close attention to detail;
    • Honesty, reliability, a strong work ethic and a commitment to strict confidentiality;
    • Self-motivated and committed to self-improvement; and
    • Able to work in a team and independently; and
    • Microsoft Office Suite is proficient.

    Desirable

    • Prior work experience at a law firm, consulting firm, services
    • Strong knowledge in general HR functions;
    • Excellent proficiency in both English and Vietnamese
    • Ability to manage time and work under pressure to meet deadlines.
