Job summary

The Operation Supervisor is responsible for supervising daily operations of Cobi Tower I and Tower II, maintaining overall control of Cobi Towers' activities, and ensuring that tenants, customers, service providers, suppliers, and contractors follow agreements with Cobi Towers as well as policies and regulations of the Towers.

Responsibilities

• Handle & deal with tenants, service providers, suppliers, contractors on operational matters relating to department's activities as assigned.
• Supervise all activities of Cobi Towers and maintain the excellence of services delivered to tenants and customers
• Record and attend to all tenants' requests, suggestions and complaints promptly and efficiently. Address the concerns of all tenants/ customers in a friendly and professional manner.
• Supervise and manage performances of outsourced service providers including Security, Cleaning, Parking, Pest Control, Landscaping, Garbage removal, etc. to ensure smooth operations of the Towers.
• Perform daily patrol of the Towers and conduct daily F&B check to ensure good cleanliness as well as Safety and Security.
• Conduct regular check/ inspection to ensure that all Cleaning, Security and Parking staff are knowledgeable of basic requirements for Cleanliness, Security & Parking.
• Update and conduct training on Health, Safety & Security for all Cleaning, Security & Parking staff as and when necessary.
• Maintain and enforce operational standards relating to cleaning, security, parking, fire safety and prevention as well as other requirements in Cobi Towers' rules & regulations.
• Negotiate with all service providers/contractors in renewal of term contracts as assigned.
• Call for quotations and purchase spare parts, equipment, stationery, etc.
• Review incident reports, daily reports, logbooks, etc. and update Operation manager/ Property Manager.
• Prepare and submit operation reports relating to cleaning, security, parking, consumable consumption monthly/ quarterly/ yearly as well as other reports related to operation department.
• Inspect vacant premises to ensure they are always in good and tenantable conditions.
• Identify security threats, develop action plan for the health, safety and security of Cobi Towers.
• Attend the hand-over of premises to tenants as well as the take-over of tenant premises.
• Coordinate and maintain good relationship with local police, fire fighting police to support the regular fire drill and security matters at Cobi Towers.
• Attend the meetings and inspections of the government officers including fire police, local police, environment police, etc.
• Assist Operation Manager/ Property Manager in organizing and arranging for the emergency drills and plans such as fire drill, infectious diseases, etc.
• Assist Operation Manager/ Property Manager to modify/ adjust the standard, procedures, guidance for all departments under operation department and ensure the procedures are up to date.
• Execute other tasks as assigned by Operation Manager/ Property Manager.
