PURPOSE/GENERAL SUMMARY:
Ensure the smooth functioning of Finance & Operation areas for Vietnam, Korea and Indonesia office. Manage the areas of Office Administration and business performance by providing support & guidance.
PRINCIPAL DUTIES & RESPONSIBILITIES:
Finance
- Responsible for the financial reporting and business analysis functions for Vietnam, Korea and Indonesia office. For financial reporting, maintain books and report to Hong Kong month end as per set accounting standards.
- Ensure all internal controls are in place and be the custodian of group policies & all fixed assets.
- For tax planning, liaise with external parties in managing tax status of Vietnam, Korea and Indonesia.
- Liaise with banks to ensure the smooth functioning of the finance area.
- Manage the office seasonal budget and executions.
- Supervise internal & external audits and follow up on corrective action plans.
- Participate in vendor scorecard reviews, vendor intelligence, understanding the strategies and support the Production & Sourcing leadership with continuous updates and key projects.
- Review Capacity Reports and help leaders identify major call outs.
- Act as an advisor and update the leadership on industry changes, strategies (political, social, environmental & economic) and the impact it may have on the business, by liaising with external parties.
- Manage the Administration team in terms of negotiating with the outsource companies and handle maintenance of the premises.
- Ensure the functions of transport, housekeeping and other admin functions are as per the required standards.
- Ensure the office meets health and safety standards of the country.
- Registered as Chief Representative of Vietnam, and other office (as necessary) legally represent the office and ensure to meet any kinds of statutory requirements.
- On behalf of company, review and sign all the company contract and outgoing official company document.
- Lead the Vietnam office functional leadership meeting discuss different agenda and coordinate to meet business requirements.
- As an onground supporting team leader, lead the biweekly supporting team meeting and coordinate for the sound support operations.
- Liaise with functional HK leader to resolve the potential issues, share feedback on the associates.
- Participate in ad hoc projects & other duties commensurate with the current role and when requested by management such as Contingency Plan
- Perform additional duties commensurate with the current role, as and when requested by management.
Qualifications
- Degree in Finance or related professional qualification.
- 12 years of practical experience in a similar capacity.
- Well organized, analytical, attention to detail, good communication skills and be able to work independently and drive towards excellence.
- Good people management skill.
- Proficiency in MS office (especially Excel).
- Excellent command in English (Both spoken & written).
